Minnesota State Academy for the Deaf, Faribault MN
This position is a full-time twelve-month per year position.

The purpose of this position is to provide administrative support services to the Director of the Minnesota State Academy for the Deaf (MSAD) and staff members in the department.

Some duties include:

*Serves as an extension of the Director and provides assistance to the Director in answering internal and external stakeholder questions.

*Monitors and sets up work and class schedules and assignments (teachers and students).

*At times must make independent decisions

*Conducts and supports new student enrollment processes and procedures. Responsible for all phases of the enrollment process from coordinating the family tour, ensuring the correct forms are given and completeness of them are accurate, to implementing the items into the student information system.

*Oversees other office administration specialist’s data entry of items in the student information system in order to ensure the MARSS submissions are completed accurately.

*Data entry of student information into the student information system – PowerSchool.

*Covers the front office hours, greets visitors, answers phones, work schedules (staff assignments), Director’s calendar, the department activities (field trips, department meetings and trainings).

*Develops reports requested by others from the student information system and conducts trainings to staff on various areas of the system.

*Creates and manages for the Director reports in excel (spreadsheets), word doc, or google documents to support the Directors duties.

*Supports coordination and tracking of substitutes (daily call- substitute requests, and finding substitutes for leave requests in advance).

*Other duties as assigned.

Minimum Qualifications:

*Knowledge of English skills sufficient to write, prepare, and edit materials using correct spelling, punctuation, grammar and sentence construction.

*Knowledge of specialized terminology used in education, special education and related educational terms.

*Knowledge of American Sign Language (ASL) and English sufficient to translate messages while maintaining message content, context, and style.

*Knowledge of ASL sufficient to understand the meaning and spelling of words, rules of composition and appropriate use of ASL with students and staff.

*Knowledge of customer services practices and principles sufficient to identify each customer's needs, meet quality standards for services and evaluate customer satisfaction.

*Ability to use customer service skills on the phone or video phone, in person and through e-mail to provide effective general and specialized office support (this requires common courtesy, tact, interest in positive problem solving, empathy and the ability to organize ideas logically)

*Skills in using specialized computer systems sufficient to accurately and effectively update student data, run queries and reports in associated databases (i.e. MARSS student information system, microsoft office).

*Knowledge of computer typing sufficient to perform skilled typing tasks with speed and accuracy.

*Knowledge of word processing sufficient to use software to create, format, edit, print and save a variety of documents, including spreadsheets, tables, charts and graphs.

*Knowledge of desktop publishing sufficient to recommend and produce final publication design and layouts.

*Math skills sufficient to compute and verify totals on report forms, requisitions or bills.

Preferred Qualifications:

*In-depth knowledge of databases used at the Minnesota State Academies

*Experience working in a school setting

*Advanced or higher level Sign communication skills.

Physical Requirements

*Ability to occasionally lift and carry up to 25 pounds.

**Employees driving on MSA business who use a rental or state vehicle must be required to conform to the Minnesota State Academies vehicle use criteria and consent to a Motor Vehicle Records Check
